Collections Representative

We are currently seeking an energetic individual looking to take on the position of Collections Representative.

The Collection Representative is responsible for the timely collection, escalation, and resolution of all past due accounts. The position reports to the Senior Collections Representative and is directly responsible for the collection of a portfolio of customer accounts. The Collection Representative ensures all accounts receivable goals, objectives, and agreed upon levels of service are met.

Key Responsibilities

  • Manage an assigned portfolio of customer accounts.

  • Monitor and collect all past due invoices.

  • Contact (phone and/or email) all past due customers to resolve all issues and delinquencies and ensure prompt payment.

  • Identify, resolve, and escalate in a timely manner all issues and/ or disputes to the appropriate people.

  • Investigate and resolve all short payments and deductions.

  • Reconcile all customer accounts and process all credit notes, offsets, and refund requests.

  • Record in a clear and concise manner all collection activities / comments and contact information.

  • Ensure all Accounts Receivable policies and procedures are followed.

  • Provide an accurate probability of bad debts on a monthly/quarterly basis.

  • Provide a high level of customer service in a professional and courteous environment.

  • Provide initiative and ideas on the improvement of work processes.

  • Any and all other duties as assigned to meet Company objectives.

Skills and Abilities

  • Must be proficient in MS Office.

  • Ability to deliver exceptional customer service and collection results in a fast paced and changing environment.

  • Strong written and oral communication skills.

  • Self-motivated, well organized and the ability to learn quickly.

  • Excellent interpersonal skills with experience making a high volume of collection calls.

  • Energetic team player.

  • Education: Post-secondary diploma or degree.

  • Experience:

  • o Two (2) years’ work experience for a utility provider.

  • o Two (2) years’ work experience in Customer Service.

Control Centre Operator

The Control Centre Operator is responsible for coordinating with Property Managers, staff and contractors. The Control Centre Operator will be involved with programming and operating building automated systems as well as monitoring and reporting on HVAC Systems.

Key Responsibilities

  • Monitor Energy Management Systems in all client buildings.

  • Operate HVAC Systems and response to critical alarms.

  • Data entry, running reports and computer maintenance.

  • Support customers by providing telephone and computer assistance.

  • Any and all other duties as assigned to meet Company objectives.

Skills and Abilities

  • Knowledge of HVAC System components such as air handlers, boilers, chillers, and variable frequency drives.

  • Computer literacy with Microsoft Office Suite.

  • Sound problem solving and organizational skills.

  • Excellent customer services skills.

  • Able to effectively communicate both verbally and in writing.

  • Able to work in a team environment and in a high stress, fast paced environment.

  • Education: Post-secondary diploma or degree.

The Customer Onboarding Representative ensures all goals, objectives, and agreed upon levels of service are met.

Key Responsibilities

  • Handling customer inquiries – verbally and written.

  • Resolve customer complaints ensuring policies and procedures are followed.

  • Communicate and work with developers to obtain vital information for new customer and building set up.

  • Execute onboarding and set-up tasks for new customers – occupancy lists, signed customer agreements and security deposits.

  • Communicate and work with other internal departments to ensure a seamless and successful onboarding process for new customers.

  • Identify, resolve, and escalate in a timely manner all issues and/ or disputes to the appropriate people.

  • Record in a clear and concise manner all customer service activities / comments and contact information on customers account.

  • Ensure all Provident policies and procedures are followed.
